Revenue Isn't Profit

You know how many loads you hauled and what the broker paid. But fuel, deadhead, repairs, and operating costs change what actually stays in your pocket. Most trucking businesses guess at the answer.

Which loads are actually profitable?
What is my true cost per mile?
Where is most of my money going?
Which customers make me the most money?
How much will I owe for IFTA this quarter?
What did I really keep after expenses?

LoadNumbers answers these questions automatically.

What Is Trucking Profitability Software?

Trucking profitability software is a tool that turns the operational activity of a trucking business — loads, miles, fuel, and expenses — into a clear picture of what each load and each mile actually earned. Instead of tracking gross revenue alone, it accounts for the costs behind the revenue so an owner-operator or small fleet can see true operating profit, not just what the broker paid.

LoadNumbers is built for exactly this, but it is broader than profitability software alone. LoadNumbers is an all-in-one financial operating system for truckers that brings loads, expenses, documents, IFTA, and reports together in one workflow — with profitability as the outcome of having the whole financial picture in one place.

Cost Per Mile

The single most important number for understanding whether your freight rates are high enough to keep the truck running.

Cost Per Mile

Total Operating Costs ÷ Total Miles

Cost per mile tells you what it costs to run one mile before you earn anything on it. A complete calculation combines two kinds of costs:

Variable costs change with miles driven — fuel, tolls, load-specific expenses, and maintenance that scales with use.
Fixed costs stay roughly the same regardless of miles — truck payment, insurance, and permits that you owe whether the truck rolls or sits.

Knowing cost per mile lets you judge whether a load's rate per mile clears what it costs to run. LoadNumbers calculates cost per mile from the expenses and mileage you record, and separates direct load costs from shared operating costs so you can see both the per-load and the whole-business picture.

Profit Per Load

The gross rate on a load does not tell you whether the load was worth taking.

Load Profit

Load Revenue − Attributable Load Costs

A larger gross load is not automatically a more profitable load. A higher-paying load can cost more to run because of distance, deadhead, fuel, tolls, or the time it ties up the truck. Two loads with very different gross rates can produce similar profit once the real costs are subtracted.

Illustrative example

A $3,000 load with 400 miles of deadhead and heavy tolls may keep less than a $2,400 short-haul load that burns little fuel and runs close to home. Profit per load shows that difference; the gross rate alone does not.

LoadNumbers attributes direct costs to the load they belong to and shows profit per load alongside cost per mile and profit per mile, so you can compare loads, lanes, and customers on the same scale.

One Financial Operating System for Trucking

Profitability is the outcome. LoadNumbers is the system that gets you there — loads, expenses, documents, IFTA, and reports in one workflow, built for trucking.

Loads

Create a load manually or import a rate confirmation. Track revenue, mileage, stops, and customers for every haul.

Expenses

AI reads fuel, repair, and scale-ticket receipts, captures the vendor, date, and amount, and blocks duplicates.

Documents

Rate confirmations, receipts, and paperwork live in one document hub — classified and linked to the right load.

Profitability

See profit per load, cost per mile, and profit per mile. Compare loads, lanes, and customers on the same scale.

IFTA

Track mileage by state and fuel purchases, then prepare quarterly IFTA reports from the miles you already logged.

Reports

Revenue, operational profit, shared operating costs, and net business profit — with tax-ready exports.

Bring Your Trucking Numbers Together

Most trucking software starts with manual data entry. LoadNumbers starts with the paperwork you already receive — rate confirmations and receipts that AI reads and links to the right load.

Create a Load

Create a load manually or upload a Rate Confirmation. AI reads the shipment details automatically.

Upload Receipts

Drop fuel, repair, or scale-ticket receipts. AI extracts the details and blocks duplicate uploads.

AI Links Everything

Expenses are categorized as direct load costs or shared operating costs for accurate profitability.

See Your Profit

Your dashboard updates with load profitability, cost per mile, and net business profit.

IFTA Within the Financial Workflow

IFTA is an important LoadNumbers capability — not the whole product.

IFTA is the quarterly fuel tax trucking businesses owe based on the miles driven in each state and the fuel purchased in each state. It matters, but it does not need to live in a separate system disconnected from the rest of your numbers.

In LoadNumbers, IFTA mileage and fuel information sit alongside your loads, expenses, documents, and reports. The miles you already logged hauling loads feed your IFTA picture instead of being re-entered into a standalone IFTA tool. IFTA Manager is also available as a dedicated add-on for carriers who want a focused IFTA workspace.

LoadNumbers prepares IFTA reports from the mileage and fuel you record. It does not file returns with jurisdictions on your behalf and does not provide tax advice — confirm your filings with your tax preparer.

Built for the People Running the Trucking Business

LoadNumbers is designed for owner-operators and small trucking businesses — typically one to five trucks. It is not an enterprise fleet-management platform.

Owner-operators

Drivers running their own trucking business who want clearer visibility into revenue, costs, and profitability without rebuilding their books from scratch.

Small carriers

Businesses managing a few trucks without a large internal finance team, where the owner still handles much of the financial work themselves.

Small fleets

Growing operators that need more organized financial visibility across multiple trucks, not a heavy enterprise fleet-management suite.

Owner + spouse teams

Families where one person drives or manages operations while another handles the financial administration from the same shared numbers.

Trucking Profitability Software FAQ

Straight answers about how LoadNumbers handles profitability.

What is trucking profitability software?

Trucking profitability software turns operational activity — loads, miles, fuel, and expenses — into financial clarity. Instead of tracking revenue alone, it shows what each load actually earned after direct costs and operating expenses. LoadNumbers is a trucking financial operating system built specifically for that purpose.

How do truckers calculate cost per mile?

Cost per mile is total costs divided by total miles driven. LoadNumbers calculates it automatically from the expenses and mileage you record, and breaks it into direct load costs versus shared operating costs so you can see what it costs to run a mile before you book the next load.

What is profit per load?

Profit per load is the revenue from a load minus the direct costs of that load — fuel, tolls, and load-specific expenses. LoadNumbers shows profit per load alongside cost per mile and profit per mile so you can compare loads, lanes, and customers on the same scale.

Why is revenue not profit?

Revenue is what the broker pays you. Profit is what stays after fuel, deadhead, repairs, tolls, and operating costs. A load that pays well can still lose money once those costs are subtracted. LoadNumbers shows both so you know what each load actually earned.

What does LoadNumbers do?

LoadNumbers is an all-in-one financial operating system for truckers. It manages loads, expenses, and documents, imports rate confirmations and receipts with AI, prepares IFTA reports, and shows load profitability, cost per mile, and net business profit in one dashboard.

Is LoadNumbers accounting software?

LoadNumbers is a trucking financial operating system, not generic bookkeeping. It handles the trucking-specific work spreadsheets and general accounting tools don't do natively — AI receipt OCR, rate confirmation import, load profitability, IFTA reporting, and tax-ready exports.

Is LoadNumbers for owner-operators and small fleets?

Yes. LoadNumbers is built for owner-operators and small carriers (1–5 trucks). It understands trucking economics natively — loads, deadhead, fuel surcharge, IFTA, and broker pay cycles — rather than adapting generic bookkeeping software to trucking.

Does LoadNumbers include IFTA reporting?

Yes. LoadNumbers tracks mileage by state and fuel purchases, then prepares quarterly IFTA reports from the miles you already logged hauling loads. IFTA Manager is also available as a dedicated add-on.

Is there a free trial?

Yes. LoadNumbers offers a 14-day free trial with no credit card required. You can upload receipts, import rate confirmations, and see your profitability dashboard before you pay.
